Overview
When creating an opportunity, users can mark the move date as TBD. This helps capture potential sales earlier and supports clients who are waiting on factors such as closing dates or lease agreements.
While opportunities can be created with a TBD move date, a confirmed move date is required before booking a job.
Opportunity Creation and Estimates
Users can create an opportunity without selecting a specific move date.
A new option, "TBD," appears next to the move date picker.
If TBD is selected, the system still requires the Move Date field to be set (for internal tracking).
When sending estimate documents, the Move Date will display "TBD."
Example: If an estimate is sent to a client before the move date is confirmed, the estimate will show the move date as "TBD."
Validation for Booking
When converting an opportunity into a booked job, a valid move date is required.
If the move date is still marked as TBD, the system prevents booking until a date is entered and confirmed.
Users will be prompted to confirm or update the move date before completing the booking.
Confirming a Move Date
Once your customer confirms their move date, you can edit the opportunity and update the Move Date field at any time.
When you set the move date, SmartMoving displays a prompt: "Would you like to re-rate this opportunity?" The prompt warns that re-rating will overwrite any manual changes to the quote.
Choose one of the three options:
Yes, re-rate updates pricing based on the confirmed date and the current tariff. Line items, surcharges, and discounts are recalculated from scratch. Any manual edits to the quote are overwritten.
No, keep current pricing preserves every line item, manual edit, surcharge, and discount on the estimate. Only the move date is updated.
Cancel closes the prompt and returns you to the confirm-date panel without saving any changes. The move date remains TBD.
What Gets Preserved When You Keep Current Pricing
Every line item already on the estimate.
Manual price overrides on any line item.
Surcharges and discounts.
Any custom edits your team has made.
What Changes Either Way
The move date is set to the confirmed date.
The opportunity is no longer flagged as TBD.
If the job was scheduled, it returns to an unscheduled state until you reschedule it.
The action is recorded in the opportunity's audit history. Anyone reviewing the record can see whether the quote was re-rated or kept as-is.
Reports and Filters
Opportunities marked as TBD will still appear in all applicable reports.
Reporting and filtering tools allow users to include or exclude opportunities with TBD move dates.
Benefits
Enables sales teams to generate quotes earlier in the sales cycle.
Reduces friction for clients who are unsure of their move dates.
Streamlines in-home survey scheduling.
Maintains data accuracy by requiring a confirmed move date before booking.
Troubleshooting
I confirmed the date and pricing changed unexpectedly.
Re-rate was selected. Open the opportunity's audit history to confirm which option was used and re-enter the prior pricing if needed.
The prompt did not appear.
The prompt only appears for opportunities with a TBD move date. Once a move date has been confirmed, the prompt is not shown on later edits to the date.
