How to Require Photos for Damaged Items in Descriptive Inventory

Learn how to enable the “Require photos for damaged items” setting in Descriptive Inventory and ensure crew members capture photo documentation for all items marked as damaged.

Overview

The Require photos for damaged items setting allows administrators to enforce photo documentation when damage exceptions are added to items during a Descriptive Inventory.

When enabled, crew members must capture or upload at least one photo for any item marked as damaged before they can continue adding additional inventory items.

This ensures your company maintains visual documentation of reported damages and reduces disputes related to item condition.


Before You Start

  • You must have administrative access to Company Settings or Crew App Settings.

  • This setting applies to the Crew App during Descriptive Inventory.

  • The setting is disabled by default for all companies.

  • The requirement applies only when an item has one or more damage exceptions entered.

Note: If no damage exceptions are added to an item, no photo is required.


How To Enable the Setting

  1. Go to Settings.

  2. Select Crew App.

  3. Click Descriptive Inventory.

  4. Locate Require photos for damaged items.

  5. Toggle the setting On.

  6. Click Save.

The requirement will apply to all future Descriptive Inventory activity once enabled.


How the Setting Works

When the setting is enabled:

  • If a crew member marks an item as damaged, they must capture or upload at least one photo before they can continue adding additional items.

  • If a crew member edits an item and removes all associated photos while damage exceptions remain, they must upload or capture a new photo before continuing.

  • If both the photos and all damage exceptions are removed from the item, no photo is required.

  • If no damage exceptions are entered, photo capture remains optional.

  • If a crew member uses the quantity field to add multiple items and copies damage exceptions to all items in that quantity, a photo warning will appear when they attempt to move forward in the Descriptive Inventory workflow from the list view. They must open each individual item within that quantity and add at least one photo before they can proceed to the Review Inventory screen.

When the setting is disabled:

  • Photo capture for damaged items is optional.

  • Crew members can save items with damage exceptions without attaching photos.

Mobile and Offline Considerations

If your company has Upload photos over cellular data set to Off, crew members can still capture photos for damaged items.

This setting only controls whether photos are uploaded using cellular data. It does not prevent photo capture.

  • Crew members must still attach at least one photo to any item marked as damaged when the requirement is enabled.

  • Photos will upload when the device is connected to Wi-Fi.

  • If cellular uploads are restricted, photo uploads may be delayed until a Wi-Fi connection is available.

Note: The Crew App requires an internet connection and is not designed for offline use.


Best Practices

  • Train crew members to capture photos immediately after entering damage exceptions to avoid workflow interruptions.

  • Establish clear internal standards for photo quality and angles.

  • Periodically review Descriptive Inventory reports to confirm consistent documentation.

Troubleshooting

Crew cannot proceed to add additional items

  • Confirm the item has one or more damage exceptions entered.

  • Verify that at least one photo is attached.

  • If photos were deleted during editing, a new photo must be added before proceeding.

Crew can proceed without adding a photo

  • Confirm the setting is enabled in Settings → Crew App → Descriptive Inventory.

  • Verify that damage exceptions were not removed from the item.

Photos not uploading immediately

  • If your company has Upload photos over cellular data set to Off, photos will only upload when the device is connected to Wi-Fi.

    • Confirm the device has an active internet connection.

    • Verify the device is connected to Wi-Fi if cellular uploads are restricted.

    • Ensure the photo is properly attached to the item before proceeding.

Note: The Crew App requires an internet connection. Photos do not sync later in an offline workflow.

  • Cached photos satisfy the requirement and will upload when connectivity allows.
