Room Grouping on the Descriptive Inventory Sheet

When Rooms is enabled for Descriptive Inventory, the inventory sheet document organizes items by room name alphabetically, with unassigned items grouped under a General Items section at the end.

Overview

The Descriptive Inventory Sheet document organizes items by room when the Rooms setting is enabled for Descriptive Inventory. Rooms appear in alphabetical order on the sheet. Items not assigned to a specific room appear in a General Items section at the end of the sheet. Check results for missing or damaged items also reflect room assignments.


Before You Start

  • The Rooms functionality must be enabled in your Descriptive Inventory settings. Contact an admin if you are unsure whether this is turned on.

  • This applies to users who generate the Descriptive Inventory Sheet document.


How To Do It

  1. Assign inventory items to rooms as part of your normal inventory workflow.

  2. Generate or view the Descriptive Inventory Sheet document.

  3. Items appear grouped under their assigned room name. Rooms are listed in alphabetical order.

  4. Items not assigned to any room appear in the General Items section at the bottom of the sheet.

  5. After completing a check, any item marked as missing or damaged appears under its assigned room in the checks table.

Key Details

  • The General Items section always appears last, after all named rooms.

  • If the Rooms setting is disabled, all items appear under General Items, as they did before this update.

  • The sheet handles pagination correctly when inventory content spans multiple pages, for both the main inventory list and the checks tables.
