Overview
The Descriptive Inventory Sheet document organizes items by room when the Rooms setting is enabled for Descriptive Inventory. Rooms appear in alphabetical order on the sheet. Items not assigned to a specific room appear in a General Items section, after the named rooms. Check results for missing or damaged items also reflect room assignments.
On a delivery across more than one stop, the sheet adds a grouping level above rooms. Items are grouped by the stop they were delivered to, and rooms appear inside each stop.
Before You Start
The Rooms functionality must be enabled in your Descriptive Inventory settings. Contact an admin if you are unsure whether this is turned on.
This applies to users who generate the Descriptive Inventory Sheet document.
Stop grouping appears only when items on the Descriptive Inventory were delivered across more than one stop. On a job delivered to a single destination, the sheet groups by room only.
How To Do It
Assign inventory items to rooms as part of your normal inventory workflow.
Generate or view the Descriptive Inventory Sheet document.
Items appear grouped under their assigned room name. Rooms are listed in alphabetical order.
Items not assigned to any room appear in the General Items section, after the named rooms.
On a delivery across more than one stop, items are grouped by the stop they were delivered to, and the rooms appear inside each stop group. Stops are listed in the order they were delivered, with the final destination last.
After completing a check, any item marked as missing or damaged appears under its assigned room in the checks table.
đĄ SmartTip: Assigning all items to rooms before generating the sheet makes it easier to review inventory by location and catch missing or damaged items during a check.
đĄ SmartTip #2: On a multi-stop delivery, read the sheet stop by stop rather than room by room. A room can appear under more than one stop when items from that room were delivered in more than one place.
Key Details
Items not assigned to a room appear under General Items, after the named rooms.
If the Rooms setting is disabled, all items appear under General Items.
On a delivery across more than one stop, stops are the outer grouping and rooms appear inside each stop. Stops are ordered by when they were delivered, with the final destination last.
On a job delivered to a single destination, the sheet groups by room only, with no stop grouping.
The sheet handles pagination correctly when inventory content spans multiple pages, for both the main inventory list and the checks tables. This includes repeating group headers across a page break.
