Mapping Inventory Items to Rooms in Descriptive Inventory

Learn how to enable and use the Rooms feature in the SmartMoving Crew App to assign descriptive inventory items to specific rooms during a move.

Overview

The Rooms feature lets crew members organize Descriptive Inventory items by room during an inventory session. When enabled, crew can define rooms at the start of a job, assign items to specific rooms as they work, and filter the inventory by room on the Lot List screen. Rooms can come from a pre-move inventory or be added manually.


Before You Start

  • An admin must enable the Rooms setting: Settings > Crew App > Descriptive Inventory > Enabled 'Rooms' functionality for Descriptive Inventory.

  • Contact SmartMoving Support if this setting is not visible in your account.


Enabling the Rooms Setting (Admin)

  1. Log in to the SmartMoving web app.

  2. Go to Settings > Crew App > Descriptive Inventory.

  3. Turn on Enabled 'Rooms' functionality for Descriptive Inventory.

  4. Click Save. The Rooms feature is now active for Crew App users.


Setting Up Rooms at the Start of an Inventory Session

  1. Open the Crew App and navigate to a job.

  2. Begin the Descriptive Inventory workflow. The Manage Rooms dialog appears automatically.

  3. Review the rooms listed under Existing Rooms. If a pre-move inventory exists for the job, those rooms are pre-populated. If no pre-move inventory exists, rooms are pulled from your web app configuration.

  4. To edit an existing room name, tap it and update the name. You can delete a room only if no items have been assigned to it.

  5. To add a custom room, type the room name. It appears in the Available Rooms section.

  6. Tap Continue to proceed. The button changes to Save once you make any changes.

Note: If you tap Cancel after making unsaved changes, you are prompted to confirm before your changes are discarded.


Assigning Items to Rooms

  1. When adding or editing an inventory item, use the Room dropdown to assign the item to a room.

  2. If a room filter is active on the Lot List screen, new items are automatically assigned to the filtered room.


Filtering the Inventory by Room

  1. On the Lot List screen, tap the room filter.

  2. Select a room to view only items assigned to it. Each room in the filter displays an item count.

๐Ÿ’กSmartTip: Activate a room filter on the Lot List screen before adding items to automatically assign new items to that room, which speeds up the inventory process.


Managing Rooms Mid-Session

  1. Tap the action menu (โ‹ฎ) during the inventory session.

  2. Select Manage Rooms to add, edit, or review rooms at any point in the workflow.

Note: The action menu consolidates Add Notes, Add Lot, and Manage Rooms into one place.


Key Details

  • Existing Rooms: Pre-populated rooms that can be edited. A room can only be deleted if no items are assigned to it.

  • Available Rooms: Auto-loaded from the master inventory room list. These cannot be edited or deleted.

  • DI Check restriction: During a DI Check, the Room field on inventory items is read-only and cannot be changed.


Troubleshooting

The Manage Rooms dialog does not appear at the start of the inventory

Confirm the Enabled 'Rooms' functionality for Descriptive Inventory setting is turned on in Settings > Crew App > Descriptive Inventory.

Cannot delete a room

A room can only be deleted if no items are assigned to it. Move or reassign items linked to that room first before deleting.

The Room field is read-only on an inventory item

This happens during a DI Check. Room assignments cannot be changed once a check has begun.
