How to set up and view your on-site, phone, and virtual surveys or estimates

Although you may provide many estimates digitally or during a customer call, you can also schedule on-site, phone, and virtual surveys for a later date.

Selecting Office Users for Surveys

Before you can schedule on-site, phone, or virtual estimates, you must first determine which of your office users have the permission to be assigned to a survey.

To add to or modify your list of user permissions for estimates, navigate to Settings -> Company Settings -> User Management or click here to go directly to the page.

First, click the name of any office user you’d like to modify.

Next, select or deselect the checkbox for “Can be assigned to on-site estimates / deliveries” in the Calendar options section.

Once selected, all office users with the on-site survey setting enabled will appear at the top of the survey schedule.

Scheduling estimates

Navigate to the estimate page of a job.

First, click + Schedule to add an event (or click Add your first event if you do not have any events).

Next, click the date field to enter or select a date from the calendar.

Then, click Add Event next to the correct time frame and under the office user's name who will handle the survey.

Next, modify the estimate settings as needed.

  • Type: Select the estimate type - on-site estimate, virtual survey, phone survey, or phone survey.

  • Time: Adjust the start time as needed.

  • Duration: Adjust the duration as needed.

  • Notify Customer: Select/deselect this checkbox to determine whether the customer should receive an email confirming the on-site estimate. If selected, they will also receive a calendar invitation.

  • Notify Sales: Select/deselect this checkbox to determine whether the Moving Consultant will be notified.

  • Notes: Add any additional notes as desired.

Then, click Add Event to save.

Customizing notification emails

You can customize the notification that a customer or office user receives when a survey has been scheduled by navigating to Settings -> Email -> Transactional Emails or click here to go directly to the page.

Note: The customer will only receive the email notification if the Notify Customer checkbox is selected on the estimate calendar booking.

First, click Event Scheduled - Customer Notification under the Calendar section to edit the customer notifications, or click Event Scheduled - User Notification to edit the office user notifications.


Note: Click the title or description area to edit—not the toggle. Clicking the toggle will only turn the notifications on / off.

From here, you can update the subject line, body, and formatting of the email. You can also change settings like whether the notification is sent out as an email, text message, or both.

Then, click Save Changes.

Viewing Surveys on the Office Calendar

You can view the on-site estimates that you and/or your team have scheduled. To do so, navigate to Calendar -> Office Calendar or click here to go directly to the page.

You can filter the calendar by user and by estimate type.

Click any event to view, update, or delete it.

Syncing sales notifications with Google calendar

Any office user who has been granted permission can sync their estimate events with their Google calendar.

To enable event syncing with a Google calendar, navigate to your profile and click My Account.

First, click Sign in to Google Calendar under the Calendar Syncing section.

Next, once your Google account is linked, select which branches you wish to receive notifications for and whether you wish to sync only your office calendar or all office calendar events.

Then, click Save Changes.
