Set Quantities for Descriptive Inventory

When completing a Descriptive Inventory in SmartMoving, crew members can specify quantities for items like PBO boxes, dining chairs, or other identical items, making it faster to log multiple units while still tracking each one individually.

Overview

Crew members can enter a quantity when adding items in the Descriptive Inventory. This makes it possible to quickly record multiple identical items, such as boxes or chairs, while keeping each one tracked individually.


How It Works

1. Adding an Item with Quantity

When adding a new item in the descriptive inventory:

  1. Select the item type from the list.

  2. Enter a value in the Quantity field.

    • The quantity must be between 1 and 100.

    • Negative numbers or quantities over 100 are not allowed.

  3. Each unit will be assigned its own item number in sequence (for example, items 1–6 for a quantity of 6).


2. Copying Details Across Items

After entering a quantity greater than 1, a prompt appears allowing you to choose which information to apply to all copies of the item.

You can select any combination of the following to copy across all instances:

  • Packing Type

  • Damages

  • Notes or Additional Details

If you choose not to copy a particular field, that information can be added or edited for individual items later.

For example:

  • If all six chairs are the same and have the same packing type, you can copy that across all of them.

  • If only one chair is damaged, you can choose not to copy the damage detail and add it only to that specific item later.

This gives crews flexibility to quickly log identical items but still document individual differences when needed.


3. Edit Individual Items (If Needed)

Once your items are created, each instance can be viewed or edited individually.

  • Tap into any specific item to update its details (such as adding a damage note to only one of several boxes).

  • All edits are saved per item, so your final inventory remains detailed and accurate.


Example Scenario

Let’s say you’re inventorying a dining room with six chairs:

  1. Add a new item and select “Dining Chair.”

  2. In the Quantity field, enter 6.

  3. SmartMoving creates six distinct entries: Dining Chair (1), Dining Chair (2), Dining Chair (3), and so on.

  4. Choose to copy Packing Type to all items, but leave Damages unchecked so you can note damage on only one.

  5. Review your list — each chair is numbered and ready for review or editing.

Limitations

  • Quantities must be between 1 and 100.

  • Copying of details is optional, not automatic.

  • Once finalized, editing may require permissions depending on your crew role.
