How to Add Boxes in Descriptive Inventory

Learn how to use the Boxes tab in Descriptive Inventory to quickly add box quantities, packing types, contents, and condition during inventory.

Overview

The Boxes tab allows crews to quickly account for packed boxes during a descriptive inventory. It supports fast entry when crews need to record box quantities and basic details, such as packing type, contents, and condition, without performing a full, item-level inventory.

This workflow is especially useful when crews encounter a large number of Packed By Owner (PBO) or Carrier Packed boxes and need an efficient way to document them before moving on to more detailed inventory items.


Before You Start

Before adding boxes in Descriptive Inventory, confirm the following:


How To Add Boxes

Step 1: Open the Boxes Tab

  1. Start or edit a descriptive inventory in the Crew App.

  2. Select Add an item.

  3. Open the Boxes tab.

The list of boxes is populated from your company’s tariff materials that are marked as containers.

Note: The order of boxes matches the order set in Tariff Settings.


Step 2: Select a Box Type

Tap a box type (for example, Medium Box or Large Box) to open the Add Item drawer.


Step 3: Enter Box Details

From the Add Item or Edit Item drawer, you can enter:

  • Quantity
    Use the plus and minus controls to add multiple boxes.

  • Packing Type
    Select how the boxes were packed:

    • Carrier Packed

    • Packed By Owner

  • Box Contents
    Enter a brief description of what the box contains (for example, linens or books).

  • Item Damage
    Document any visible damage to the box or its contents at the time of inventory.

  • Photos
    Add photos to support condition details or damage documentation.

  • Notes
    Enter any additional information about the boxes.

  • Additional Details (if applicable)

If you add more than one box and enter Box Contents, you’ll be prompted to choose whether the contents should be duplicated across all boxes.


Step 4: Save Boxes

Choose one of the following:

  • Save to add the box to the inventory

  • Save & add another to quickly enter additional boxes

💡 SmartTip: Use Save & add another when entering large quantities of similar boxes to speed up inventory entry.


During Inventory Checks

  • Box contents, damages, notes, and photos from previous steps remain visible but read-only

  • New damages, notes, and photos can be added only for the active check

  • Each new entry is tied to the current check type


Best Practices
