Each commercial job has its own Files & Photos tab on the Job Details page. From this tab, admins can upload, organize, and manage all files tied to a specific job, including documents, customer-provided files, surveys, pre-move and post-move photos, and claims.
The tab keeps job-specific files separate from broader account or project documents, so crews, sales, and operations can find exactly what they need at the job level.
đĄ SmartTip: The Files & Photos tab shows two running counts at the top of the page, one for Photos and one for Files, so you can see at a glance how much has been uploaded for the job.
Before You Start
Available to companies with Smart Pro.
You must be an admin to upload, edit, or delete files on a commercial job.
Supported file types:
Photos: .png, .jpeg, .jpg
Documents: .doc, .docx, .xls, .xlsx, .pdf, .txt, .csv
Maximum file size: 50 MB per file.
Note: If a file is larger than 50 MB, SmartMoving will show an error and the upload will be canceled. Resize images or split documents before uploading.
Where the Files & Photos Tab Lives
The Files & Photos tab is part of the Job Details page on any commercial job.
Open an Account from the Accounts list.
Open a Project under that account.
Open a Job from the project.
In the job navigation, click the Files & Photos tab.
The page header displays Files & Photos â [Job Number] so you always know which job you're working in.
How to Upload a File or Photo
The tab is organized into sections, with each section dedicated to a specific kind of file:
Documents
Customer
Survey
Pre-move
Descriptive Inventory (visible only if your account has the Descriptive Inventory feature)
Post-move
Claims
To upload:
Go to the Files & Photos tab on the job.
Locate the section that matches the type of file you're uploading (for example, Pre-move for pre-move photos).
Click the add tile in that section (the photo or file icon, labelled Click to upload files on hover), or drag files onto the section. An empty section reads Drop documents here or Drop photos here.
If you clicked the add tile, select one or more files from your computer.
Wait for the upload to complete. The Photos or Files count at the top of the page will refresh automatically.
đĄ SmartTip: Drop files into the right section the first time. Putting pre-move photos under Documents, for example, makes them harder for the crew and claims teams to find later.
Managing Files
Once uploaded, each file shows a thumbnail (for photos) or a file-type icon (for documents), along with the file name and upload details.
From any section you can:
View a file: click the thumbnail or file name to open a preview.
Download a file: use the download option on the file.
Edit details: rename a file or update its description.
Delete a file: remove a single file, or select multiple files and delete them in a batch.
Note: Deleting a file is permanent. SmartMoving will ask you to confirm before the file is removed, and the action cannot be undone.
The Photos and Files counts at the top of the page update automatically as files are added or removed.
Job Documents for Signature
Documents you build in the document library, such as the job's Work Order and documents you send for signature, are in a separate slideout.
Open the job.
On the Job Information card, click Documents.

How Job-Level Files Compare to Account and Project Documents
SmartMoving stores commercial files at three different levels. Use the right level so the right people can find the files later:
Account-level documents: agreements, master contracts, and other files that apply to the entire commercial account. Stored on the account's Documents tab.
Project-level documents: files tied to a project, but not to a single job. Stored on the project.
Job-level Files & Photos: files specific to one job: surveys for that job, pre-move and post-move photos, claims documentation, and customer-provided paperwork. Stored on the Files & Photos tab inside the job. Documents from your document library, including the job's Work Order, are in the Documents slideout on the job's Job Information card.
đĄ SmartTip: When in doubt, ask "Does this file belong to the whole account, the project, or just this one job?" Upload it at the level that matches the answer.
