Adding Notes to Storage Inventory Items

Add, edit, or remove free-text notes on storage inventory items so warehouse staff and customers see the same context across the Storage Module and Storage Portal.

Overview

Notes give you a place to record item-level context on storage inventory, such as condition details, handling instructions, or location reminders. Once saved, a note shows on the item in the Storage Module and on the matching item in the Storage Portal so warehouse staff and customers see the same information.


Before You Start

Available to accounts using SmartMoving Storage. Anyone with access to view storage inventory in the Storage Module can add, edit, or remove a note on an item. Customers viewing items through the Storage Portal see the note as read-only and cannot change it.

Notes can only be added to items with a status of In Storage. If an item is in another status, the Add note and Edit note options are hidden.


How To Do It

Add a Note to a Storage Inventory Item

  1. Open the Storage Module and find the inventory item you want to update.

  2. Open the item's action menu. In gallery view, use the menu on the item card. In list view, use the menu at the end of the row.

  3. Select Add note.

  4. Enter your note in the text field. Notes can be up to 500 characters.

  5. Select Save. The modal closes, a Note saved. confirmation appears, and the menu option changes to Edit note.

Edit a Saved Note

  1. Open the action menu for an item that already has a note.

  2. Select Edit note. The modal opens with the current note text.

  3. Update the text in the field.

  4. Select Save. The modal closes and the updated note appears on the item.

Remove a Note

  1. Open the action menu for the item with the note.

  2. Select Edit note. The modal opens with the current note text.

  3. Clear all text from the field. The primary button changes to Remove note.

  4. Select Remove note. The modal closes, a Note removed. confirmation appears, and the menu option returns to Add note.

View a Note on an Item

  1. Open the item detail slideout from the Storage Module.

  2. On the Details tab, find the NOTES (STORAGE) section. The saved note appears as read-only.

  3. Items without a saved note show a placeholder dash in this section.

Customers viewing the item through the Storage Portal see the note in a read-only Notes (Storage) section. If no note has been saved, the section does not appear on their view.


Best Practices

  • Keep notes short and specific. The most useful notes describe a single piece of information.

  • Use notes for handling requirements, condition flags, or location reminders that crew and customers both need to see.

  • Review notes before scheduling an outbound opportunity so the crew has the latest information.

  • Remove a note once the context is no longer accurate. An outdated note is worse than no note at all.

  • Use notes for context that stays with the item, such as fragile handling or storage requirements. For job-level messages, keep using job notes.


Key Details

  • Notes are limited to 500 characters.

  • Add note and Edit note are only available when the item status is In Storage. When an item is in another status, the note actions and the photo upload and delete actions in the item detail slideout are hidden.

  • Notes saved in the Storage Module appear in the Storage Portal without a manual refresh on the customer's side.

  • In the Storage Portal, items without a saved note do not render an empty notes section.

  • Damages and notes display in the order they were captured. When an item is marked outbound, damages and notes from the outbound opportunity are also shown.

  • Note changes are not recorded in the item's activity log.


Troubleshooting

The Add note option is missing. The item is not in the In Storage status. The note option only appears when an item is currently in storage.

The customer does not see the note in the Storage Portal. Confirm the note was saved in the Storage Module. Notes display in the portal as soon as they are saved.

The note will not save past a certain length. Notes are capped at 500 characters. Shorten the text and select Save.
