Editing and Deleting Damage Records in Storage Inventory

Learn how to add, edit, and delete damage records for storage inventory items from the Item Details slideout, and understand which damage records can and cannot be modified.

Overview

You can manage damage records for inventory items directly from the Item Details slideout in the Storage module. This gives you control over damage tracking for items in storage, so you can correct mistakes or remove entries added in error.


Before You Start

Available to accounts using SmartMoving Storage. Requires admin role (typically owners) to add, edit, or delete damage records.


How To Do It

Opening the Item Details Slideout

  1. Navigate to the Storage module and open the storage account containing the item.

  2. Locate the item in the inventory list and click it to open the Item Details slideout.

  3. The slideout has three tabs: Details, Photos, and Activity Log. Damage records appear on the Details tab.


Reading the Damage Sections

The Details tab shows damage in separate sections based on when and how the damage was recorded:

  • DAMAGE (INITIAL INVENTORY): Damages recorded before the item entered storage. Read-only.

  • DAMAGE (WAREHOUSE CHECK): Damages recorded during a warehouse check. Read-only.

  • DAMAGE (STORAGE): Damages added while the item is in storage. These can be edited and deleted.

If no damages exist in any category, a single DAMAGE section is shown with an Add Damage link.


Adding a Damage Record

  1. In the Item Details slideout on the Details tab, click Add Damage next to the DAMAGE section header. The Add Damage slideout opens.

  2. Fill in the damage details and save. The record appears in the DAMAGE (STORAGE) section and is logged in the Activity Log tab.


Editing a Damage Record

  1. In the DAMAGE (STORAGE) section of the Details tab, locate the damage record you want to update.

  2. Click the three-dot icon () at the end of the damage entry. A small menu appears.

  3. Click Edit damage. The edit panel opens with the current damage details pre-selected.

  4. Update the fields as needed:

    • Select or deselect damage types (e.g., Scratched, Dented, Torn).

    • Select or deselect damage locations (e.g., Top, Front, Corner).

    • Edit the Damage Notes field (up to 500 characters).

  5. Click Save. The damage record updates and the change is logged in the Activity Log tab.


Deleting a Damage Record

  1. In the DAMAGE (STORAGE) section of the Details tab, locate the damage record you want to remove.

  2. Click the three-dot icon () at the end of the damage entry. A small menu appears.

  3. Click Delete damage. A confirmation message appears: "Delete damage? This cannot be undone."

  4. Click Delete damage to confirm. The record is permanently removed and the deletion is logged in the Activity Log tab.

If you dismiss the confirmation prompt, the record is not deleted.


Best Practices

  • Before deleting a damage record, consider editing it instead. Deleted damage records cannot be recovered. If the damage was real but recorded with the wrong details, editing preserves the history while correcting the information.

  • Check the Activity Log tab after edits or deletions to confirm the changes were recorded correctly.

  • If a damage record has no three-dot menu, it is in the DAMAGE (INITIAL INVENTORY) or DAMAGE (WAREHOUSE CHECK) section and cannot be modified from this slideout.


Troubleshooting

I cannot find the three-dot menu on a damage record. Only DAMAGE (STORAGE) entries have the three-dot menu. Damages from the original descriptive inventory or from warehouse checks are read-only in the Item Details slideout.

I accidentally deleted a damage record. Deleted damage records cannot be restored. If the damage still exists on the item, add a new damage record using the Add Damage button.

The Save button is not active when editing. At least one damage type, one damage location, or a note must be present on the record. Make sure the record is not completely empty before saving.
