Overview
In a storage account's Inventory tab, you can select any item to open the item details slide-out, a side panel with the complete record for that item. This gives office staff a richer view of each stored item, and a place to correct or update its details, without leaving the storage account page.
The slide-out is organized into three tabs: Details, Photos, and Activity Log. You can view an item at any time. You can edit an item while it is in storage. After an item is moved out of storage, the Edit button is hidden and the item can no longer be edited.
Before You Start
Available to accounts using SmartMoving Storage.
Viewing and editing item details is for office staff who manage inventory in the Storage module.
Editing a container's location or adding an oversized type requires the Settings or Storage Settings permission, typically granted to admins.
Viewing an Item's Details
Open a storage account and select the Inventory tab.
Select any item in the inventory list to open the item details slide-out.
Review the item header, which shows a photo thumbnail, item name, status badge, and the item's weight, volume, and description.
Open the Details tab to view item specifics, including:
Lot number, item number, and QR or barcode code
Warehouse name and warehouse location
Damages, notes, and packing type
Additional item details, if applicable
Open the Photos tab to view photos grouped by Descriptive Inventory (DI) photo category:
Initial Inventory, Driver Check, and Warehouse Check photos are read-only.
Storage photos can be added or deleted directly from this tab.
Open the Activity Log tab to review the item's history. The Activity Log shows a timeline of events for the item, including damage events, check events, container assignments, and status changes. Each entry includes a description, the user who recorded it, and a timestamp. Editing an Item's Details
You can edit an item's details directly from the item details slide-out while the item is in storage. Changes save only when you choose to save them, and every edit is recorded in the item activity log.
Open the item details slide-out for the item, then select Edit to enter edit mode.
Update the fields you need:
Header: Weight and Volume. Description and Status are not editable.
Details tab: Lot number, Item number, Code (QR or Barcode), Container, Location (Aisle, Row, Shelf), Zone, Contents (boxes only), Packing Type, Additional Details, and Notes. Warehouse is not editable because it is tied to the storage account.
To change a container, choose one from the Container list. Aisle, Row, Shelf, and Zone fill in automatically from that container. Clearing the container clears those fields. Aisle, Row, and Shelf stay disabled until a container is selected.
To mark the item as oversized, turn on the Mark as oversized toggle. The container and Aisle, Row, and Shelf fields hide, and a required Zone picker appears. Choose an existing oversized type, or add a new type with a name and monthly fee.
Select Save to apply your changes, or Cancel to discard them. The slide-out returns to view mode and the activity log records the edit.
Note: If you mark an item as oversized while it is in a container, a warning shows the container, location, and zone the item will be removed from.
Editing Rules for Storage Items
The Lot number list shows only sibling lots within the same descriptive inventory the item belongs to.
The Container list shows only containers in the storage account's warehouse.
Storage Damages are not edited in the slide-out edit form. They keep their existing controls in view mode, including the Add Damage link and the Edit and Delete options on each damage row. See Editing and Deleting Damage Records in Storage Inventory.
If an edit leaves a container with no items, that empty container is automatically removed from the account and you see a confirmation message. For accounts billed by container, you also see a note that the cost will be updated on the next invoice.
All edits are recorded in the item activity log with the actor and timestamp.
Check Details Stay With the Item
When a check is performed on a storage item, the details captured during that check, including damages, notes, and photos, stay attached to the item and remain visible in the item details slide-out. This gives you a complete record of the item's condition throughout its life in storage.
The details stay visible after the item is imported into storage and after the item leaves storage on an outbound job.
The same check details appear in the office app Inventory tab and in the storage portal Inventory tab, so staff and customers see a consistent view of each item. For the customer-facing view, see Viewing Item Details in the Storage Portal.
Best Practices
Add warehouse photos to the Storage category on the Photos tab when documenting an item's condition after it arrives. This keeps a clear, timestamped record separate from move-day photos.
Open the Activity Log tab to review an item's full history before contacting a customer or investigating a change.
Set up oversized types in Settings before you need them, so they are ready in the picker when you mark an item as oversized.
Use the Notes field for context that does not fit the structured fields, such as customer-specific handling instructions.
Treat the item details slide-out as the source of truth when answering customer questions about an item's condition or history.
Troubleshooting
The item details slide-out does not open when I select an item. Make sure you have access to storage accounts in SmartMoving. If you have access and the slide-out still does not open, contact SmartMoving Support.
The Edit button is not visible. The item has been moved out of storage. Editing is only available while an item is in storage.
Aisle, Row, and Shelf are disabled. Select a container first. These fields populate from the chosen container.
The container disappeared after saving. When an edit leaves a container empty, SmartMoving removes it from the account automatically and shows a confirmation message.
I cannot add an oversized type. Adding an oversized type requires the Settings or Storage Settings permission. Ask an admin to grant access or add the type for you.
