Using Advanced Filters and Bulk Selection in Storage Inventory

Filter storage inventory items by status, room, container, item type, location, and more using top-level filters and the Advanced Filters modal. Bulk-select items to add to opportunities, containers, or mark as Oversized.

Overview

The Storage Inventory tab includes two layers of filtering. Top-level filters sit directly above the inventory table for quick narrowing. The Advanced Filters modal provides additional options for more precise refinement. You can also select multiple items at once and apply bulk actions such as adding items to a new opportunity, assigning them to a container, or marking them as Oversized.

Available to accounts using SmartMoving Storage. Requires admin role.

You also need a storage account with items in the inventory.


Understanding Filter Logic

Storage Inventory filters combine as follows:

  • Different filter categories combine using AND logic. For example, setting All Rooms to "Living Room" and Packing Type to "Carrier Packed" returns only items that match both conditions.

  • Within a single multiselect filter, selections combine using OR logic. For example, selecting "Box" and "Firearm" under Item Type returns items that are either Box or Firearm.

  • Leaving a multiselect filter empty applies no filter for that category and includes all items.


How To Do It

Using Top-Level Filters

  1. Open the Storage Inventory tab on a storage account. The filter bar appears above the inventory table when items are present.

  2. Use the Search field to find items by name, description, container, or location.

  3. Toggle Show only damaged to display only items with recorded damages. The inventory table updates immediately.

  4. Click All Statuses, All Rooms, or All Containers to filter by those categories. Each opens a dropdown where you can select one or more values.

    • All Rooms is disabled with the tooltip "No rooms available for the items in this storage account." when no rooms exist.

    • All Containers is disabled with the tooltip "No containers available for the items in this storage account." when no containers exist.

Using Advanced Filters

  1. Click Advanced Filters above the inventory table. The Advanced Filters modal opens.

  2. Set any combination of the following filters:

    • Location fields (Aisle, Row, Shelf): Enter values as free text. The labels shown match your warehouse's location naming configuration.

    • Zone: Appears only when zones are configured on the account.

    • Date Entered Storage: Choose a date range using the date picker or select a quick option such as All Time, Today, or This Week.

    • Lot Number: Appears only when lot numbers exist on the account.

    • Packing Type: Select one or more packing types as chips.

    • Item Type: Select one or more item types as chips.

    • Item is assigned to a container: Toggle on to show only items assigned to a container.

  3. Click Apply. The inventory table updates to show matching items.

  4. To close without applying changes, click the X in the modal header.

  5. To clear all active advanced filters, click Clear N filter(s) in the modal header. This resets only advanced filters and does not close the modal. This option appears only when at least one advanced filter is active.

The Advanced Filters button label shows the count of active filter values in parentheses, for example, Advanced Filters (3).

Note: Applied filters persist when you navigate away from the Storage Inventory tab and return within the same session. They reset on page refresh. Filters are specific to each storage account.

Filtering by Oversized

To narrow the inventory list to items already marked as Oversized, use the Item Type filter in the Advanced Filters modal and select your configured Oversized item types. For details on marking items as Oversized, see Marking Inventory Items as Oversized.

Selecting Items and Using Bulk Actions

  1. Check the checkbox on any item row to select it. A selection action bar appears above the table showing how many items are selected.

    • Click Select all N items in the action bar to extend the selection to every item in the account, including items beyond the current page.

  2. When items are selected, the action bar shows Clear Selected, Add to New Opportunity, Add to Container, and Mark as Oversized (or Unmark as Oversized).

  3. Click Add to New Opportunity to create a new outbound opportunity from the selected items. This action is disabled with the tooltip "One or more selected items cannot be added to a new opportunity." when the selection includes items that cannot be outbounded.

  4. Click Add to Container to assign the selected items to a container.

  5. Click Mark as Oversized to flag the selected items as Oversized. For the full marking workflow, see Marking Inventory Items as Oversized.

  6. When all selected items are already marked as Oversized, the action bar shows Unmark as Oversized instead. Click it to remove the Oversized designation.

  7. Use the Show selected only toggle (visible when items are selected) to narrow the table to your selected items. The toggle appears to the left of the Advanced Filters button and turns off automatically when the selection is cleared.


Best Practices

  • Apply top-level filters first for broad narrowing, then open Advanced Filters to refine further.

  • Check the count on the Advanced Filters button to confirm how many filter values are active before reviewing results.

  • Applied filters survive tab navigation within your session but reset on page refresh.

  • To mark a mixed selection of Oversized and non-Oversized items, first use Unmark as Oversized on a separate selection of Oversized items, then re-select everything and mark.
