Signing Each Page of a Descriptive Inventory by Hand

Learn how crews use the Sign each page manually instead option in the SmartMoving Crew App to draw a signature on every page of a descriptive inventory when Single Signature is enabled.

Overview

This article explains how a crew signs every page of a descriptive inventory by hand in the SmartMoving Crew App, even when the company has single-signature capture turned on.

  • With single-signature capture enabled, the carrier and the customer each draw their signature one time on the Sign & Approve Inventory sheet, then tap each page's signature field to place that captured signature.

  • Some jobs, customers, or interstate paperwork call for a signature drawn separately on each page.

  • The Sign each page manually instead button on the Sign & Approve Inventory sheet opens a per-page signing flow, where the carrier and the customer draw a fresh signature into every signature field.

  • The finished descriptive inventory document carries a hand-drawn signature in each field, on the correct page, with the time it was placed.


Before You Start

Confirm the following before a crew uses the Sign each page manually instead option in the Crew App:

  • Single-signature capture must be enabled for the company. An admin turns it on in the web app under Settings > Crew App > Descriptive Inventory, in the Inventory Signatures section, using the Capture signatures once, stamp on every page. toggle. Requires admin role.

  • No crew-level permission controls this option. Any crew member who can sign a descriptive inventory can use it.

  • The crew must select at least one email recipient on the Sign & Approve Inventory sheet before manual signing opens.

  • Any damaged item that requires a photo must have one. The Crew App blocks signing until those photos are added.

Note: If the company has single-signature capture turned off, crews already draw a signature on every page. The Sign each page manually instead button does not appear, because that is already the standard flow.


Where the Sign Each Page Manually Instead Option Appears

The Sign each page manually instead button appears on the Sign & Approve Inventory sheet in the Crew App, directly below the consent statement and above the signature cards. It is styled as an outlined button across the width of the sheet.

The option is available on the initial descriptive inventory and on all five check types:

  • Driver check

  • Warehouse check

  • Warehouse Cross Reference check

  • Destination check

  • Final Destination check


How to Sign Each Page of a Descriptive Inventory by Hand

Follow these steps in the Crew App to draw a signature on every page of the descriptive inventory:

  1. Complete the descriptive inventory or the check, then continue to the Sign & Approve Inventory sheet. The sheet lists the consent statement, the signature cards, and the email recipients.

  2. Select at least one email recipient. If none is selected, a message reads "Please select at least one email recipient." and manual signing opens once one is added. Tap Manage to expand the recipient list, then tap Add Recipient to add an address.

  3. Tap Sign each page manually instead. The descriptive inventory document opens in the per-page signing view. On phones, the document opens in landscape.

  4. Tap Next Signature at the bottom of the document to jump to the next unsigned field, or tap any unsigned field directly. The button shows a running count, such as Next Signature (1 / 5), where the second number is the total number of fields for the signer who is signing.

  5. Draw the signature on the signature pad and submit it. The signature is placed in that field and the field shows a Signed caption with the time it was placed, such as "Signed · 2:14 PM".

  6. Continue until the carrier has signed every carrier field. The customer's fields stay locked and show as previews during this pass.

  7. When the carrier finishes, a Hand the device to the customer screen appears. Give the phone to the customer, then tap Continue to unlock the customer's fields.

  8. Have the customer draw a signature in each of their fields the same way.

  9. Tap Finalize Inventory. The button becomes available once every required signature field is signed. The descriptive inventory is completed and emailed to the selected recipients.

💡 SmartTip: Use Next Signature rather than scrolling for fields. The counter confirms how many signatures remain for the person holding the phone, which keeps a long descriptive inventory moving.


What Happens to Signatures That Were Already Captured

Switching to manual signing discards signatures captured for stamping, because each signer uses one method at a time on a descriptive inventory.

  • If neither the carrier nor the customer has captured or stamped a signature, tapping Sign each page manually instead opens per-page signing right away with no warning.

  • If a signature has been captured on the sheet or stamped onto a page, a confirmation appears titled Sign each page manually? It reads: "The signatures already provided won't be used. You'll draw a signature on each field in the inventory document instead."

  • Tap Sign each page to continue. This discards the captured and stamped signatures for the carrier and the customer, then opens per-page signing with every field empty.

  • Tap Cancel to keep the existing signatures and stay on the Sign & Approve Inventory sheet. Nothing is discarded.

⚠️ Warning: Confirming the switch to manual signing clears the captured and stamped signatures for both signers, not only the person who tapped the button. Both the carrier and the customer sign again from the start.


Switching Back to Sign and Stamp After Signing by Hand

A crew that started signing pages by hand can return to capture-once stamping for a signer.

  1. Return to the Sign & Approve Inventory sheet.

  2. Tap that signer's card, either Carrier Signature or Customer Signature. Each unsigned card reads Tap to sign.

  3. If that signer already has hand-drawn signatures, a confirmation appears titled Sign and stamp over manual signatures? It reads: "You've started signing pages by hand. Signing and stamping here will erase all signatures already placed for the carrier." The message names the carrier or the customer, whichever card was tapped.

  4. Tap Sign and stamp to continue, then draw the signature on the pad. The hand-drawn signatures are cleared only after the new signature is captured.

  5. Tap Cancel to keep the hand-drawn signatures.

The discard is limited to the signer whose card was tapped. The other signer's hand-drawn signatures are untouched. Closing the signature pad without drawing anything leaves that signer's hand-drawn work in place.


Leaving and Returning to Manual Signing

A crew can leave the per-page signing view and come back without losing signatures already drawn on the descriptive inventory.

  • Signatures already placed are saved as they are submitted, so leaving the view keeps them.

  • Returning to Sign each page manually instead resumes signing with those signatures still in place. No confirmation appears, because hand-drawn work alone is kept.

  • The Next Signature counter picks up at the next unsigned field.

  • Choosing manual signing leaves the path back to stamping open through the signature cards.


Signing When the Customer Is Not Available

Manual signing supports jobs where the customer is not present to sign the descriptive inventory.

  • Turn on the Customer not available to sign toggle on the Sign & Approve Inventory sheet before tapping Sign each page manually instead.

  • The customer's card reads "To be captured online via email", and the customer receives an email to sign and approve the inventory online.

  • Per-page signing then covers the carrier's fields only. No handover screen appears, and the customer's fields render as inactive previews.

  • Finalize Inventory becomes available once the carrier has signed every carrier field.

  • The Customer not available to sign toggle is offered on the initial descriptive inventory and the Final Destination check. On the Driver, Warehouse, Warehouse Cross Reference, and Destination checks the customer signs on site, since those are typically completed without the customer present.


Key Details

  • Each signer uses one signing method at a time on a descriptive inventory. Switching methods clears that signer's existing signatures and starts them over.

  • Switching from stamping to manual signing clears both signers, even when only one of them had signed.

  • Manual signing opens once at least one email recipient is selected. Capture-once stamping allows recipients to be chosen later.

  • Finalize Inventory becomes available once every required signature field for every active signer is signed.

  • The Sign each page manually instead button appears when single-signature capture is turned on for the company. With the setting off, every page is already signed by hand.

  • Signatures clear per signer rather than per field. Clearing a signer's card on the Sign & Approve Inventory sheet removes every signature for that signer.


Best Practices

  • Decide whether the job needs hand-drawn signatures before anyone signs. Choosing manual signing after a signature is captured clears the work for both signers.

  • Add email recipients on the Sign & Approve Inventory sheet first, since manual signing opens once at least one is selected.

  • Let the carrier finish every carrier field before handing the phone over, so the customer signs in one pass.

  • Watch the Next Signature counter to confirm how many fields remain before handing the phone to the customer.

  • Confirm the descriptive inventory reached Finalize Inventory before leaving the job site, since an unsigned field keeps the document open.


Troubleshooting Manual Signing on a Descriptive Inventory

The Sign each page manually instead button is missing from the Sign & Approve Inventory sheet.

Single-signature capture is turned off for the company, so every page is already signed by hand and no button is needed. An admin can check Settings > Crew App > Descriptive Inventory, in the Inventory Signatures section.

Tapping Sign each page manually instead shows "Please select at least one email recipient."

Manual signing requires a recipient for the completed descriptive inventory. Tap Manage on the recipient row, select an existing address or tap Add Recipient to add one, then tap Sign each page manually instead again.

Finalize Inventory is not available after signing.

At least one required signature field is unsigned. Tap Next Signature to jump to the remaining field. If the customer still needs to sign, complete the handover so the customer's fields unlock.

A confirmation warns that signatures will be erased when tapping a signature card.

That signer has hand-drawn signatures on the descriptive inventory, and stamping replaces them. Tap Cancel to keep the hand-drawn signatures, or tap Sign and stamp to capture a signature and stamp it on each page instead.

A message reads "We couldn't check whether any signatures have already been provided."

The Crew App could not read the descriptive inventory document, so it cannot confirm what has been signed. Check the device's connection and try again. Continuing discards any signatures that exist.

A message reads "Unable to open the inventory document. Please try again later or contact support."

The descriptive inventory document could not be prepared. Existing signatures are kept. Check the device's connection and tap Sign each page manually instead again. If the message repeats, contact SmartMoving Support.
