Overview
When a customer you store for as a residential account becomes commercial work, you can close the residential storage account and create a commercial storage account in one flow. The commercial storage account is linked to a commercial account and project, and it takes over the residential account's balance, inventory, containers, files and saved payment methods.
The residential storage account closes and keeps its history. All activity from that point on bills to the commercial storage account.
Before You Start
Available to companies with Smart Pro.
You need the Storage and Accounts permissions.
The residential storage account must be active.
The commercial account and the project you want to link must already exist.
Complete or cancel any open release requests or work orders on the residential storage account.
If the residential storage account has more unapplied credit than it owes, refund or apply the extra credit first.
How to Move a Residential Storage Account to a Commercial Account
Go to Storage and open the Accounts tab.
Find the residential storage account.
Click the three-dot menu on the account's row.
Select Close & Create Commercial Account.
The storage account wizard opens on Basic Information, with a notice naming the residential storage account being moved.
In Existing Account, search for and select the commercial account.
In Link Project, select the project.
Review the billing address, phone numbers and email address. Fill in anything that is missing.
Click Continue.
Review each remaining step: Storage Settings, Containers, Oversized Items, Lot Numbers, Recurring Charges and Warehouse Handling. Each step starts with the residential account's details.
On Invoice Creation, review the recurring charges, one-time charges, discounts and credits.
Under Store Payment Information, select a saved card or add a card for the commercial storage account.
Choose Pre-Pay or Post-Pay.
If the first invoice is due right away and you chose Pre-Pay with a card, choose Collect Now or Send Invoice.
Review Total Due and the Balance forward line.
Click Create Account.
In Close Residential Storage Account, click Confirm.
The commercial storage account opens. The residential storage account is closed.
Key Details
Balance forward: Unapplied payments on the residential storage account are applied to its open invoices first. Any remaining balance is billed on its own invoice on the commercial storage account, labeled Balance forward from the residential account number. This invoice is due right away and is not taxed.
Unbilled charges: Charges not yet billed on the residential storage account appear as read-only one-time charges on Invoice Creation and are billed on the first commercial invoice.
Billing schedule: The commercial storage account continues billing from the end date of the residential account's last invoice. When the first invoice is not due yet, Total Due shows its due date and nothing is charged until then.
Warehouse: The commercial storage account stays in the same warehouse. The warehouse cannot be changed in this flow.
Warehouse handling: Warehouse handling starts at None, since the residential account was already billed for it.
Inventory and containers: Containers and all inventory not yet released move to the commercial storage account, along with their lot numbers and oversized items.
Files & Photos: Files and photos move to the commercial storage account, except photos of items already released.
Saved payment methods: Active, unexpired cards and e-checks on the residential customer are copied to the commercial account's billing customer. The card list on Invoice Creation shows cards only.
No card selected: If you skip selecting a card, the residential account's card or e-check becomes the commercial storage account's payment method, and nothing is charged at creation.
Rates and charges: Storage rates, extra recurring charges and discounts with remaining occurrences carry over and can be edited in the wizard.
Residential account: The closed residential storage account keeps its history and cannot be reopened. Audit activity on both accounts records the move.
Commercial customer details: A commercial storage account uses its project's customer, so customer details are edited from the commercial account or project.
Best Practices
Collect or settle the residential balance before the move if you want the commercial storage account to start without a balance forward invoice.
Confirm the project you link is the one the commercial account will bill storage under.
Check the contact details on Basic Information before continuing.
