Overview
The Storage dashboard gives you one place to track storage activity, account health, occupancy, and revenue across your storage operation. This article explains how the numbers on each card, table, and chart are calculated.
Before You Start
You must have access to the Storage module to view the dashboard. If you have multiple warehouses configured, a warehouse filter appears on the dashboard. Every card, table, and chart uses the selected warehouse as part of the criteria.
How To Do It
Today card
The Today card shows the count of storage move-ins and move-outs scheduled for the current day.
Move Ins is the total number of active opportunities that include storage charges with a Move-In date of today. The container count is calculated from the estimated number of containers on the storage portion of the estimate.
Move Outs is the number of booked outbound storage jobs with an outbound date of today. The container count is the total number of containers assigned to the associated storage accounts.
Tomorrow card
The Tomorrow card shows the count of storage move-ins and move-outs scheduled for the next day.
Move Ins is the total number of active opportunities that include storage charges with a Move-In date of tomorrow. The container count is calculated from the estimated number of containers on the storage portion of the estimate.
Move Outs is the number of booked outbound storage jobs with an outbound date of tomorrow. The container count is the total number of containers assigned to the associated storage accounts.
Needs Account card
The Needs Account card flags storage accounts that should have been created but were overlooked. The number is the total count of booked opportunities that include storage charges with a move-in date less than or equal to today and no linked storage account.
Opportunities that have been canceled or lost do not count toward this metric.
Schedule — Next 7 days
The Schedule section sits below the metric cards and contains two side-by-side tables: Move Ins and Move Outs.
Move Ins table
The Move Ins table lists all scheduled and outstanding move-ins quoted for the active warehouse. It includes any booked jobs with storage charges quoted with a move-in day of today or the next 7 days. Each row shows the date, job link, volume/weight, and status.
The table also includes historical jobs that have not had a storage account created. These display with a Missing Account status.
Move Outs table
The Move Outs table lists any booked outbound storage job with an outbound date within the next 7 days. Each row shows the date, linked storage account, container count, balance, and outbound job link. A Print Pick Sheet option is available at the top of the table.
If the customer associated with the outbound storage job has an active storage account, SmartMoving automatically links the outbound job to the account. When multiple warehouses are configured, only the storage accounts that belong to the selected warehouse display.
If the outbound storage customer does not match any active storage account, the job appears in the Move Outs section for any warehouse selected. A warning indicates that an outbound job was booked but no matching storage account was found. The storage account information is omitted.
If the outbound storage customer has multiple active storage accounts, SmartMoving uses the estimated move-out date on each active account to find a match. If one matches the outbound job date, that account is linked. If neither matches, both storage accounts are listed.
Revenue widget
The Revenue widget shows the total month-by-month invoiced revenue for the prior 6-month period. Unpaid invoices are not factored out of this calculation.
Expected this month is the total of all created and pending invoices for the current month. The total also includes any one-time or recurring unbilled charges.
Occupancy widget
The Occupancy widget shows the current occupancy percentage and a month-by-month trend. Occupancy for each month is based on the total number of assigned containers on an active storage account divided by the total number of containers for the given month. Stats are calculated based on the last day of the month.
Any container deleted from a storage account is not counted as assigned in the statistics. When you close an account, leave the containers assigned to the account. Closing the account frees up the containers for use on new accounts and still tracks that they were in use at the time.
Aging widget
The Aging widget is a pie chart breakdown of total outstanding invoices in 30-day segments (0–30, 31–60, 61–90, and 90+ days). The invoice create date determines the age of the balance due on any unpaid invoice. Past Due is the total of all unpaid invoice balances.
Best Practices
Review the Today and Tomorrow cards at the start of each day to plan crew and warehouse activity.
Watch the Needs Account card to catch storage opportunities that were booked but never had an account created.
Use Print Pick Sheet on the Move Outs table to prepare warehouse staff for upcoming outbound jobs.
Confirm that outbound storage jobs use an existing customer so they automatically link to the right storage account.
Leave containers assigned to closed accounts so historical occupancy stats stay accurate.
Troubleshooting
The dashboard does not load. Confirm you have access to the Storage module. If you have access and the dashboard still does not load, contact SmartMoving Support.
The warehouse filter is missing. The warehouse filter appears only when more than one warehouse is configured. If you expect multiple warehouses, confirm they are configured in your account settings.
A move-in or move-out is missing from the table. Confirm the job is booked and that storage charges are included. Outbound jobs only appear if they are booked and dated within the next 7 days.
The Move Outs table shows a warning that no matching storage account was found. The outbound storage customer does not match an active storage account. Update the customer link on the outbound job, or create a matching storage account.
