How to add recurring storage, WHSE handling, and other storage-related charges to an estimate

You can add storage costs and fees to a customer estimate in order to provide a complete quote for all moving and storage services.

Adding Storage to an Estimate

First, navigate to the storage tab on an opportunity.

Next, complete each of the following sections. If any section does not apply to the quoted job just leave it empty.

  • Scheduling: Select which warehouse the customer's items will be located in. The warehouse occupancy shows how full your warehouse is, available containers show how many empty containers are available, the Date In is the date the customer's items will be moved into storage, and Est. Date Out is optional if known. If the Date In does not match the date of the storage inbound job, SmartMoving will populate a small warning on the Storage tab to notify you of this discrepancy.

  • Storage Needs: Specify the cubic feet and weight and select SIT or Permanent as the storage type. The volume and weight will be pulled in from the estimate; however, in the event that the volume and weight will be different (e.g., if the customer is only moving some of their items into storage), then you can modify these numbers as needed.

  • Recurring Storage: Select the rate type, number of containers, and cost per container to determine the monthly recurring storage charges. The default rate type and the fee per container are determined by your settings, but they can be updated here as needed. If a customer will only be in storage for a couple of days or a duration shorter than a full month, you can select Flat Rate as the rate type to charge a set fee for the number of days storage will be needed.

  • Warehouse Handling: If you charge warehouse handling, select the rate type as By CWT, By Container, or By Hour, and select the fee amount. If you do not charge warehouse handling or you bill WHSE handling on the storage inbound job, select the option for none.

  • Oversized Items: If the customer anticipates having large items that need to be stored, click Add Oversized Items to add the oversized items and fees.

  • Valuation: If valuation is desired, select By CWT or By Flat Rate. The default is determined by your settings, but it can be updated here as needed. If you do not sell additional valuation, select the option for none.

  • Discounts: If any discounts will be applied to the estimate, click Add Discounts to add a discount to the storage costs on the estimate.

  • Totals: The monthly storage charges are before any discounts are applied. The WHSE Handling Fee will only appear if you added a warehousing handling fee.

Then, click Save.

Note: Any field with an asterisk is required. The estimated storage charges cannot be saved until all required fields have been entered.

When you return to the estimate tab you will find that the Estimated Storage Panel has populated so that you can quickly view the estimated storage charges while on the estimate tab.

Once created, the storage charges will show on the customer's estimate in a separate Storage section. The amount displayed to the customer will reflect a full month's bill unless a flat rate was selected. Any discounts you've applied are listed on the estimate but not reflected in the estimated price. This will ensure your customer has a clear idea of the recurring charges after any discounts have been used.

Important Note: Be sure that you've added any additional storage tokens to your estimate document (located in the SmartMoving document library) to include specific storage language and pricing or pull in the new SmartMoving estimate document which includes the new storage tokens. If this step is not completed, the customer will only see the storage charges in their customer portal, not on their actual estimate document when downloaded.
