Applying Tags to Storage Inventory Items

Learn how to apply, remove, and bulk-manage tags on storage inventory items in SmartMoving so your team can flag item status at a glance across the list and gallery views.

Overview

Tags give your team a fast, visual way to flag the status of storage inventory items. You can apply one or more tags to an item, remove them, and tag many items at once. Tags appear in both the list and gallery views, so anyone looking at the inventory can spot items that need attention.


Before You Start

Available to accounts using SmartMoving Storage. Anyone with access to a storage account's Inventory tab can apply or remove tags.

  • Tags must already be set up in your inventory tag settings. If no tags exist, the tag options do not appear on inventory items or in the bulk actions bar. See Managing Storage Inventory Tags.

  • You apply tags from a storage account's Inventory tab in the Storage Module.

šŸ’” SmartTip: Add a description to each tag in settings. The description shows when you hover over the tag, which helps your team read tags the same way.


Applying or Removing Tags on a Single Item

  1. Open the storage account and select the Inventory tab.

  2. Click an item to open its details panel.

  3. Click Edit.

  4. In the Tags field, select one or more tags. The list shows every available tag in the order set in your inventory tag settings.

  5. To remove a tag, click it in the Tags field to deselect it.

  6. Click Save. The panel returns to view mode, and the Tags section shows the updated tags. The tags also appear in the list and gallery views.


Tagging Multiple Items at Once

  1. On the Inventory tab, use the checkboxes to select the items you want to tag. The bulk actions bar appears at the top of the list.

  2. Click Add Tags. The Add Tags window opens.

  3. Select the tags you want to apply, then click Add Tags. The window closes, the tags are added to every selected item, and the new tags appear on each item.

Note: Adding tags in bulk is additive. Selected items keep the tags they already have. If an item already has a tag you apply, the tag is not added twice.

Note: Every tag change is recorded in the storage account's activity log. Bulk changes are logged for each item and tag.


Clearing All Tags from Multiple Items

  1. On the Inventory tab, select the items using the checkboxes.

  2. In the bulk actions bar, click Clear All Tags.

  3. A confirmation window titled Clear all tags appears. It reads, "This will remove all tags from [number] selected items. This cannot be undone."

  4. Click Clear Tags. All tags are removed from the selected items.


How Tags Appear

  • List view: Each item shows up to three tag badges. If an item has more than three tags, a +X more badge appears. Hover over it to see the remaining tag names. Hover over any tag badge to see that tag's description.

  • Gallery view: Each card shows a single tag badge with a count of how many tags the item has. Hover over the badge to see all the tag names.

  • Item details panel: The Tags section lists all of an item's tags. If an item has no tags, the section shows two dashes (--).


Best Practices

  • Set up a clear, consistent set of tags in your inventory tag settings before you tag items, so your team reads them the same way.

  • Use bulk Add Tags when you receive or inspect a batch of items that share the same status, instead of tagging one item at a time.

  • Keep the number of tags per item small. Only the first three tags show in list view before they collapse into the +X more badge.

  • Review tags during routine warehouse walks so item status stays current.


Troubleshooting

I do not see Add Tags or Clear All Tags in the bulk actions bar. These options appear only when at least one tag exists in your inventory tag settings. Create a tag in settings first, then select your items again.

The Tags field does not appear when I edit an item. The Tags field shows only when your company has at least one tag set up in inventory tag settings.

I cleared tags by mistake. Clearing tags cannot be undone. Select the affected items and apply the tags again.
