Managing Storage Inventory Tags

Manage the tags that label storage inventory items, including five built-in tags and any custom tags you create. Edit names, descriptions, and order from a single settings page.

Overview

The Inventory Tags settings page lets you manage the tags that can be applied to storage inventory items. SmartMoving provides five built-in tags out of the box that cover common warehouse scenarios. You can edit them, delete them, reorder them, or add your own custom tags to match how your team works. Each tag has a name and a description, and the description appears when someone hovers over the tag on an inventory view.


Before You Start

Available to accounts using SmartMoving Storage. Managing inventory tags requires access to Storage Settings, which admins control through your roles and permissions.

If you don't see this option, contact SmartMoving Support.


How To Do It

  1. Open Settings, then Storage Settings, then Inventory Tags. The settings table lists each tag with a drag handle, the Name, the Description, and an actions menu.

  2. Review the five built-in tags. Every account starts with these tags:

    • Needs Repair: Item has damage that needs to be repaired.

    • Needs Inspection: Needs initial warehouse inspection.

    • Inspected: Item has been inspected by customer.

    • Repaired: Item has been repaired.

    • Wrong Item Received: Wrong item received from carrier.

  3. To add a custom tag, click Add Tag at the top of the page. The new tag form opens. Enter a Name (up to 30 characters) and a Description (up to 200 characters), then click Save. The new tag appears at the bottom of the list.

  4. To edit a tag, open the actions menu on the tag and select Edit. The edit slideout opens with the Name field (30 character maximum, with a live character counter) and the Description field (200 character maximum). Make your changes and click Save. The tag updates in the list.

  5. To delete a tag, open the actions menu on the tag and select Delete. A confirmation modal asks, "Are you sure you want to delete this tag?" Click the blue confirm button. The tag is removed from the list.

  6. To reorder tags, drag a row by its drag handle and drop it into a new position. The order you set is the order tags appear elsewhere in the product.

  7. To see a tag's description outside Settings, hover over the tag badge on an inventory view. The description appears in a tooltip so your team can quickly understand what a tag means.


Best Practices

  • Edit the built-in tags rather than deleting them if you only need a small wording change. The built-in tags cover the most common scenarios and are useful as a starting point.

  • Keep tag names short so they read well on inventory badges. Names are capped at 30 characters.

  • Use the description field to give context that does not fit in the tag name. Anyone hovering the tag will see it.

  • Reorder tags so the ones your team uses most often appear at the top of the list.


Troubleshooting

I cannot find the Inventory Tags page. Open Settings, then Storage Settings. Inventory Tags appears in the Storage Settings menu. If you don't see this option, contact SmartMoving Support.

My new tag does not appear on inventory items. New tags appear at the bottom of the list and become available to apply once saved. Refresh the inventory view, then reopen the tag selector.

I cannot save a long description. Descriptions are capped at 200 characters and names are capped at 30 characters. Shorten the text and click Save.

Tags appear in the wrong order on inventory views. The order in the Inventory Tags settings page controls the order elsewhere. Drag tags into the order you want, then reload the inventory view.
