How to Finalize a Job from the Crew Application

Learn how to finalize a job in the Crew Application, calculate final charges, collect payment, and choose which contacts receive the move review and contract.

Once a job has been completed, the crew must finalize the job to calculate final totals, generate the invoice, and close out the work. Finalizing a job also allows you to collect payment and send the move review and contract to the appropriate opportunity contacts.

When Descriptive Inventory is enabled on a job, crew members may also see confirmation screens that let them choose between the original material or packing charges and the quantities recorded in the inventory.

This article walks through the full finalize workflow and explains how to choose which contacts receive review links and contracts.


Before You Start

  • The job must be marked as completed.

  • All services, materials, and time entries should be accurate.

  • Opportunity contacts should already be added to the job.

Note: Once a job is finalized, no further changes can be made from the Crew Application.


How to Do It

Step 1: Complete the Job

  1. Open the job in the Crew Application.

  2. Select Complete Job to stop the labor clock.


Step 2: Confirm End Time

  1. Confirm the ending time for the job.

  2. Select Next to continue.

Note: To adjust the labor clock select change. To return to the previous screen select Cancel.


Step 3: Add Time Deductions

  1. Add any time deductions, if applicable.

  2. Select Review Services.


Step 4: Review Services

  1. Review all services performed.

  2. Edit services if needed.

  3. Select Review Materials.


Step 5: Confirm Material Charges (Descriptive Inventory jobs only)

Note: This step only appears when all of the following are true:

  1. the Prompt the crew to update their material and packing charges setting is enabled in Settings > Descriptive Inventory,

  2. the job is non-binding,

  3. a completed inventory exists for the job, and

  4. there are quantity differences between the original material charges and the inventory-calculated quantities.

  1. If a Material Charges confirmation screen appears, review the side-by-side comparison of:

    1. Original Charges and

    2. Updated Charges.

      1. Note: Items with differences are highlighted, with the original value shown in strikethrough.

  2. Select Original Charges to keep the current values, or Updated Charges to apply the inventory-based quantities.


  3. Tap Continue.


Step 6: Review Materials

  1. Confirm that all materials used are included.

  2. Edit materials if necessary.

  3. Select Finalize Invoice.


Step 7: Confirm Container Charges (Descriptive Inventory jobs only, pack-by-container packing only) [NEW]

Note: This step only appears if there are quantity differences in packing or unpacking charges between the original charges and the inventory-calculated quantities.

  1. If a Container Charges confirmation screen appears, review the side-by-side comparison of Original Charges and Updated Charges.

  2. Select Original Charges or Updated Charges.

  3. Tap Continue.


Step 8: Review Invoice

  1. Review the invoice preview for accuracy.

  2. If all charges are correct, select Go to Contract.


Step 9: Collect Signatures

  1. Collect all required signatures for the contract and related documents.

  2. Select Finalize Job at the bottom of the screen.


Step 10: Choose Payment Option

  1. Select Take a Payment or Complete Job and Carry Balance.

Note: If you select to Complete the Job and Carry the Balance, no payment will be collected, and that job will be marked as completed. The balance for this job will be added to the total balance due for the opportunity.


Step 11: Collect Payment (If Applicable)

  1. Allow the customer to select a tip amount, if prompted.

    1. Select Add Tip.

  2. Choose the payment method.

  3. Enter payment details or add a new payment method.

Note: Multiple payment methods can be used if needed.


Step 12: Finalize Payment

  1. Confirm the balance due is $0.00, or that you are carrying the balance.

  2. Select Finalize Job.


Step 13: Choose Review and Contract Recipients

When prompted, select which opportunity contacts should receive the move review and the contract.

Send Review and Contract To

  • The primary opportunity contact is selected by default.

  • Additional opportunity contacts can be selected if needed.

  • Review and contract recipients can be different.

  • Email and SMS options are shown based on the communication template settings for reviews and contracts.

Note: Review and contract recipients do not need to be the same.

Disabled Contact Sections

In some situations, the Review or Contract sections may be unavailable.

  • Review contacts may be unavailable if reviews are not set up to be sent for this job.

  • Contract contacts may be unavailable if contracts are not set up to be sent for this job.

If you tap a disabled section, a message appears explaining why it can’t be selected.


Step 14: Finalize the Job

  1. Confirm your selections.

  2. Select Finalize Job.

Now that the job has been completed, you can return to the dashboard to move on to your next job for the day.


Best Practices

  • Verify contact details before finalizing the job.

  • Keep the primary contact selected unless there is a clear reason to exclude them.

  • Send reviews only to contacts who are expected to provide feedback.


SmartTips

💡 SmartTip: If the inventory is not yet complete when the crew reaches the finalization step, a prompt appears with three options: Cancel, Continue Without Completing, or Go to Inventory to finish the inventory first.

💡 SmartTip: Original Charges is selected by default on each confirmation screen. If no charge changes are needed, select Original Charges and continue.

💡 SmartTip: Keep the primary contact selected unless there is a specific reason to exclude them. Send move reviews only to contacts who are expected to leave feedback.


Troubleshooting

I can’t select contacts for reviews or contracts

Check that the appropriate communication triggers are enabled on the template.

Only email or SMS is available

Delivery methods are controlled by the communication template.

Additional contacts are missing

Confirm the contacts are added to the opportunity before finalizing the job.

Confirmation screens are not appearing

Verify the Prompt the crew to update their material and packing charges setting is enabled under Settings > Descriptive Inventory, the job is nonbinding, and the inventory is marked as complete with quantity differences present.
